Timesheet tips
- Enter times as they appear on the clock; overnight shifts are handled automatically.
- Unpaid meal breaks are subtracted. Short rest breaks of 20 minutes or less are usually paid under federal rules.
- Overtime under federal law is based on hours over 40 in a workweek, not per day.
- Payroll often rounds to the nearest 15 minutes or tenth of an hour; check your employer's policy.
Turn minutes into decimal hours
Payroll usually wants decimal hours. 7 hours 45 minutes is 7.75 hours. Use the hours to decimal calculator for a full chart.
Questions
How do I calculate hours worked?
Subtract the start time from the end time, then subtract unpaid breaks. 9:00 AM to 5:30 PM with a 30-minute lunch is 8 hours.
When does overtime start?
Under the federal Fair Labor Standards Act, non-exempt employees earn at least 1.5× pay for hours over 40 in a workweek. Some states, such as California, also have daily overtime rules.
What if a shift goes past midnight?
Enter the end time as it appears on the clock. If the end is earlier than the start, the calculator treats it as the next day.
